Registration is free for every health facility. In exchange for keeping your ward status reasonably current, you get free national directory listing, advance emergency notifications, and BERF fund payments (up to GHS 1,000 per verified claim) for subscribers you treat.

1. Facility Registration

Registration on BedWatch Africa is free of charge for all health facilities. By registering, the Facility agrees to these terms.

Facilities may appear in the BedWatch Africa national directory as unverified listings before formal registration if they are included in the Ghana Health Service facility dataset. Such listings show location and contact information only. Real-time bed availability data is only available after formal registration and verification.

2. Facility Obligations

The registered Facility agrees to:

  • Provide accurate information about facility name, location, contact details, and services offered
  • Update ward and bed status through the BedWatch Africa portal with reasonable frequency — at minimum whenever capacity status changes significantly
  • Designate at least one staff member as the BedWatch Africa portal administrator
  • Notify BedWatch Africa of any significant changes to facility services, capacity, or operations
  • Cooperate in the BERF claim verification process when a subscriber claim involves treatment at the Facility
  • Provide itemised cost information for verified BERF claims within 3 working days of request

3. Data Accuracy Responsibility

The Facility accepts responsibility for the accuracy of the data it enters into the BedWatch Africa portal. BedWatch Africa relies on this data to route patients. Inaccurate data may result in patients being directed to a facility that cannot receive them.

BedWatch Africa shall display a staleness indicator when facility data has not been updated within 2 hours. Facilities are encouraged to update their status at shift changes and whenever capacity changes.

4. What BedWatch Africa Provides

  • Free listing in the national emergency facility directory
  • A portal for real-time ward status updates
  • Advance notification when a BedWatch Africa subscriber triggers an emergency and selects the Facility
  • BERF fund payments for verified subscriber emergency claims (up to GHS 1,000 per claim)
  • Access to the BedWatch Africa referral network
  • Visibility to all BedWatch Africa subscribers across Ghana

5. BERF Payments to Facilities

When a BERF claim is approved, BedWatch Africa will pay up to GHS 1,000 directly to the Facility within 48 working hours of claim approval. This payment:

  • Is a contribution toward emergency stabilisation costs, not full payment of treatment costs
  • Does not release the patient from responsibility for any remaining balance
  • Is conditional on the Facility providing verified itemised cost information
  • Is paid via Mobile Money or bank transfer to the Facility’s registered account

6. Termination by Facility

A Facility may withdraw from BedWatch Africa at any time by notifying BedWatch Africa in writing. The Facility’s listing will be converted to a directory-only unverified listing within 5 working days. Any pending BERF claims at the time of withdrawal will be processed according to these terms.
